Are you a dynamic leader with a passion for operational excellence and financial stewardship? We are seeking an impactful individual to drive the financial and administrative heartbeat of a crucial operational department. In this role, you won’t just manage processes; you’ll be the strategic force ensuring the department’s financial health, operational efficiency, and team readiness. You’ll translate complex financial data into actionable insights, lead a dedicated team, and directly influence the strategic direction of vital operations, making a tangible difference every single day.

To be considered for this role, you must:

  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis.  C2C or 1099 is not permitted for this position

**What You Will Do:**

* Oversee comprehensive financial management and budgeting for the department, including auditing reports, managing variances, ensuring funding, and handling accruals.
* Contribute significantly to financial performance management by preparing insightful reports, identifying cost-saving opportunities, and highlighting areas for improved financial control.
* Manage human resources and recruitment efforts, meticulously monitoring staffing to ensure alignment with approved full-time equivalent counts.
* Provide expert policy and procedure guidance to the management team.
* Oversee vendor relationships and invoice management, ensuring financial compliance and optimal contract performance.
* Direct supplies and inventory management, including the allocation of major equipment and periodic reviews of IT assets.
* Lead and coordinate departmental projects, ensuring efficient resource utilization, compiling status reports, managing schedules, and documenting all project phases.
* Oversee the maintenance of departmental online resources in collaboration with key stakeholders.
* Perform other administrative duties as required to support the department’s objectives.

**Day-to-Day Impact:**

* **Financial Operations & Invoice Approvals:** Regularly review, question, and approve supplier invoices and financial transactions.
* **Vendor & Contract Oversight:** Proactively manage vendor relationships and the financial implications of significant service contracts.
* **Operational Leadership:** Attend and anchor recurring operational meetings, setting daily priorities and ensuring smooth departmental function.
* **Strategic Business Support:** Act as the business authority for staffing, resourcing, and operational readiness decisions.
* **Budget & Cost Center Ownership:** Take full accountability for financial flows within operational functions.
* **Cross-Functional Leadership:** Engage in regular meetings with peers and leaders to align operations and strategic priorities.

Your core mission will be to ensure operational functions remain financially sound, vendor-compliant, and operationally unblocked, translating budgets, contracts, and key performance indicators into real-world decisions for leadership and your team.

**Education:**

* Bachelor’s degree in a work-related discipline/field from an accredited college or university.

**Experience:**

* 5 years of progressively responsible and directly related work experience.
* Leadership experience with a minimum of 2 years managing and building a team. This position will have direct reports, requiring a strong executive presence.

**Required Knowledge, Skills, and Abilities:**

* Ability to assess and respond to the logistical and administrative needs of the department.
* Ability to conceptualize, plan, organize, coordinate, and manage major programs or functions.
* Strong ability to develop financial budgets and effectively manage expenses.
* Proficiency in developing business plans and strategies.
* Demonstrated ability to foster effective working relationships and build consensus.
* Adept at handling diverse administrative responsibilities and determining appropriate courses of action.
* Skill in mediating and resolving complex problems and issues.
* Proven ability to provide leadership and influence others.
* Comprehensive knowledge of business administration principles.
* Proficiency in Microsoft Word, Excel, PowerPoint, Visio, Access, Project, and Outlook.
* In-depth knowledge of principles and practices of organization, administration, fiscal, and personnel management.
* Strong understanding of principles and practices of supervision and program management.
* Solid finance background including accounting and financial management experience.
* Experience in capital planning, vendor management, and financial foresight and planning (translating future impacts to current team operations).
* Experience with the full contract life cycle.
* Expertise in timecard management and staffing oversight, including the impact of overtime/double-overtime on budgets.
* Skilled in budget development, including cost-containment, cost savings initiatives, proforma development, and robust knowledge of CAPEX and OPEX management.
* Knowledge of Artificial Intelligence concepts.

**Direct Reports:**

* This role will involve 2 direct reports initially, with opportunities for growth based on capability and tenure.

The target hiring compensation range for this role is $79.45 to $88.28 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
