Aquent is seeking a detail-oriented and professional Patient Scheduler to support a premier healthcare client. In this role, you will be responsible for managing high-volume scheduling for pre-anesthesia appointments, ensuring patients are booked efficiently and accurately. You will act as a key point of contact for patients, navigating complex scheduling criteria to determine whether appointments should be in-person or virtual, while maintaining a high standard of patient-centered care.

Key Responsibilities

  • Patient Outreach: Proactively contact patients via phone to schedule appointments in a timely, professional manner.
  • Complex Scheduling: Use established clinical criteria to identify patients needing appointments and determine the appropriate visit type (virtual vs. in-person).
  • Electronic Health Records (EHR): Accurately document all scheduling activities, requests for medical records, and patient interactions within the Epic system.
  • Workflow Collaboration: Partner with clinical teams, patient care coordinators, and fellow schedulers to optimize daily workflows and ensure seamless clinic operations.
  • Information Management: Navigate scheduling reports and work queues to identify outstanding needs and maintain an organized patient pipeline.
  • Compliance & Standards: Adhere to strict clinic workflows, standard work procedures, and patient communication principles to ensure a high-quality, professional experience.

Required Qualifications

  • Education: High school diploma or equivalent required.
  • EHR Experience: Prior experience working with Electronic Health Records is required (Epic experience is strongly preferred).
  • Clinical Experience: Previous experience in healthcare scheduling, a medical call center, or administrative support within a fast-paced clinical setting.
  • Customer Service: Strong background in patient-facing or customer service roles with a proven ability to maintain a professional phone etiquette.
  • Technical Skills: Proficiency in Microsoft Outlook, Word, and Teams.

  • Communication: Clear, empathetic verbal communication skills with a focus on patient needs.
  • Adaptability: Ability to learn internal scheduling software and complex clinical workflows quickly.
  • Reliability: A professional approach to attendance and time management in a high-productivity environment.

Preferred Skills (Nice-to-Have)

  • Familiarity with pre-anesthesia or surgical workflows.
  • Experience managing scheduling reports or specialized work queues.
  • Bilingual communication skills (specifically Spanish).
  • Experience in a high-volume call center environment within the healthcare industry.

The target hiring compensation range for this role is $35.81 to $38.96 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
