Facilities Senior Coordinator (Workplace Operations)

About the Role

We are seeking a Facilities Senior Coordinator to support workplace operations within a corporate office environment. This individual will serve as a key point of contact for employees, visitors, candidates, and vendors—delivering a seamless, professional, and welcoming workplace experience.

This role is responsible for maintaining a safe, efficient, and engaging office environment by overseeing daily facilities operations, vendor performance, and workplace services. You will partner cross-functionally with teams such as Operations, IT, HR, Safety, and Security to ensure the workplace runs smoothly and meets operational standards.

This is a senior individual contributor role with opportunities to mentor others and drive continuous improvement initiatives.

What You’ll Do

Facilities Operations

  • Oversee day-to-day facilities operations, ensuring a clean, safe, and fully functional workplace
  • Conduct routine inspections and identify opportunities for improvement
  • Coordinate preventative and corrective maintenance with internal teams and vendors
  • Manage and track work orders to ensure timely resolution
  • Support workplace readiness for audits, events, and peak operations

Vendor Management

  • Manage relationships with service providers (janitorial, HVAC, security, waste, etc.)
  • Monitor vendor performance against SLAs and KPIs
  • Conduct vendor audits and communicate expectations
  • Track invoices, validate completed work, and support budget adherence

Workplace Experience

  • Deliver a high-quality experience for employees and visitors
  • Coordinate office moves, seating assignments, and workspace setup
  • Support employee engagement initiatives and on-site events
  • Respond to workplace requests and concerns with professionalism and urgency

Project Coordination

  • Support facility-related projects from planning through execution
  • Coordinate office improvements, furniture installations, and space changes
  • Track timelines, budgets, and stakeholder communication
  • Identify opportunities to improve efficiency and reduce costs

Financial & Administrative Support

  • Assist with budget tracking and expense management
  • Monitor purchase orders and invoices
  • Maintain asset inventories and facilities documentation

Leadership

  • Mentor junior team members and provide operational guidance
  • Develop and maintain standard operating procedures (SOPs)
  • Partner cross-functionally to improve workplace operations
  • Lead meetings and support continuous improvement initiatives

What You’ll Bring

Required Qualifications

  • 3+ years of experience in facilities management, workplace operations, property management, or a related field
  • Experience managing vendors and coordinating maintenance or repairs
  • Strong organizational and project coordination skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficiency with Excel and standard business tools
  • Experience working cross-functionally with multiple stakeholders

Preferred Qualifications

  • Experience with facilities or work order systems (e.g., ServiceNow, Corrigo, or similar)
  • Knowledge of workplace safety standards or compliance requirements
  • Experience with project management tools (e.g., Asana, Monday, Jira, or similar)
  • Exposure to budget tracking, invoices, and purchase orders
  • Experience supporting office moves, space planning, or workplace events

Additional Requirements

  • Ability to lift and move equipment or supplies (up to ~50 lbs)
  • Comfortable with a mix of desk work and active, on-site responsibilities
  • Ability to respond to occasional after-hours issues or emergencies
  • Flexibility for occasional travel as needed
