About the Opportunity

You will be at the forefront of patient interaction, ensuring a seamless experience from initial contact through their care journey. This role is crucial in coordinating new patient intake, managing critical scheduling, and providing essential administrative support that empowers clinical staff to focus on what they do best – delivering outstanding healthcare.

What You’ll Do

  • Serve as the primary point of contact at the front desk, greeting and welcoming patients, and assisting with inquiries regarding appointments, payments, and schedules.
  • Manage multi-line phone systems, screening and routing calls efficiently, and taking accurate messages for clinical staff and physicians.
  • Ensure all necessary verifications and authorizations are complete before patients see their providers, maintaining compliance and efficiency.
  • Act as a vital link between patients and providers, offering support and information using established reference documents and tools.
  • Collaborate closely with providers to understand their scheduling preferences and respond effectively to urgent patient needs.
  • Perform diverse administrative tasks, including maintaining information and paging directory databases, and processing various internal forms.
  • Leverage the full functionality of telephone systems and electronic medical records systems to execute daily tasks with precision.
  • Uphold and exceed organizational and departmental service standards, contributing to a positive patient and staff experience.
  • Address non-clinical patient inquiries and messages, escalating complex issues to appropriate personnel.
  • Oversee the management and distribution of faxes, mail, and the organized filing of clinic-specific documentation.

What You’ll Bring

Must-Have Qualifications:

  • High School Diploma or GED.
  • Solid understanding of medical terminology.
  • Proficiency in computer systems and software relevant to administrative functions.
  • Exceptional verbal and written communication skills, tailored to diverse audiences.
  • Proven ability to deliver outstanding customer service, solve problems efficiently, and manage multiple priorities in a fast-paced setting.
  • Familiarity with Windows-based office software, computer operations, and operating systems.
  • A calm and composed demeanor, especially in stressful situations.
